    Sole traders and the self-employed

    Trades, cleaners, consultants, drivers, creatives, online sellers. Your bank lines are sorted into the self-employment expense categories HMRC uses for MTD and the full self-employment pages (SA103): cost of goods, car, van and travel, phone and office, advertising, professional fees, bank charges and the rest. Entertaining and equipment purchases are flagged as not allowable, so you don't claim them by mistake.

    Landlords

    Rent comes out as income. Letting agent fees, insurance, ground rent, repairs and safety certificates go to the right UK property (SA105) category. Residential mortgage interest is kept separate, because it gets a 20% tax credit and isn't deducted as an expense. Got rental income and self-employment? Tick both and you get two separate sets of totals, as MTD requires.

    Making Tax Digital for Income Tax: the dates that matter

    Since 6 April 2026, sole traders and landlords with qualifying income over £50,000 must keep digital records and send HMRC a quarterly update. Each update is cumulative: it covers the tax year so far, not just the latest three months. That's exactly how MTD Totals lays out your figures.

    Questions

    Is MTD Totals HMRC-recognised software? Does it submit my quarterly update?

    No. MTD Totals is a bookkeeping aid: it turns your bank transactions into categorised totals. To file, put those totals into HMRC-recognised MTD software. If you keep your records in a spreadsheet, that means bridging software. Some recognised options are free. You can download your categorised transactions as a CSV and keep them as your digital records.

    Is my bank data uploaded anywhere?

    No. The file is read and processed entirely inside your web browser. Nothing about your transactions is sent to us or anyone else. The only thing that touches the internet is the licence-key check when you unlock.

    Which banks does it work with?

    Any bank or card that exports CSV. That includes Monzo, Starling, Tide, Barclays, HSBC, Lloyds, Halifax, NatWest, RBS, Santander, Nationwide, Metro, Revolut, Wise, Amex and credit cards. If we can't detect the columns automatically, you pick them from a list. PDF statements can't be read, so download the CSV version from your online banking.

    What are allowable expenses for the self-employed?

    Costs you pay wholly and exclusively for your business. That includes materials and stock, business travel and vehicle costs, phone and internet, software, insurance, advertising, accountancy fees and bank charges. Personal spending isn't allowable, and neither is client entertainment. Equipment is usually claimed through capital allowances rather than as an everyday expense. MTD Totals groups spending into HMRC's categories and flags the ones that aren't allowable.

    What expenses can landlords claim?

    Letting agent and management fees, landlord insurance, ground rent and service charges, repairs and maintenance (not improvements), safety certificates such as gas and EICR, legal and accountancy fees, and some travel costs. Residential mortgage interest isn't deducted. Instead, you get a tax credit at 20% of the interest, so MTD Totals keeps it in its own line. Only the interest counts, not capital repayments.

    Can I report just one total for expenses?

    Yes, if the income source has turnover under £90,000. You can then send a single consolidated expenses figure in your MTD update and on your Self Assessment return. MTD Totals shows both the category breakdown and the consolidated total, so you can use whichever applies.

    Are MTD quarterly updates cumulative?

    Yes. From 2026/27 each quarterly update covers the tax year to date. For example, your November update covers 6 April to 5 October. MTD Totals shows each quarter's cumulative figure next to its deadline. It also supports calendar quarters if you've chosen those.

    Do I need Making Tax Digital this year?

    You need it from 6 April 2026 if your qualifying income (gross self-employment plus property income) was over £50,000. The threshold falls to £30,000 from April 2027 and £20,000 from April 2028. HMRC works this out from your earlier Self Assessment returns. Below the threshold, you still file a normal Self Assessment return, and MTD Totals gives you those figures too.

    Is this tax advice?
